The Process

Every return follows the same rigorous process.

No returned unit gets lost, missed, or restocked without going through each step. Your pre-set instructions govern what happens at every decision point.

Return arrives at our warehouse

The returned unit is received and logged into the WMS immediately upon arrival — timestamped, photographed at intake, and matched to the original order where possible. Your inventory portal updates in real time.

Inspection — exterior check + photos

Every return gets an exterior box inspection with two photos documenting condition — packaging integrity, visible damage, and label state. Photos are uploaded to your account for review. Interior inspection (opening packaging to check the product itself) is available on request at an additional fee.

Decision point — your rules, your call

Based on your pre-set instructions, each inspected unit goes one of three routes: restocked to a standard sellable location, quarantined pending your review, or flagged for disposal. You set the rules once during onboarding — we execute every time.

Re-shelving — inventory back in stock

Units approved for restocking are moved to a standard warehouse location and immediately available for future orders. Your live inventory count reflects the addition as soon as re-shelving is complete.

Disposal — handled cleanly if needed

Units that can't be restocked are disposed of at CAD 0.30/kg (minimum CAD 10.00 per occurrence). We document disposal and update your inventory count accordingly. Unclaimed returns that aren't retrieved within 15 days are automatically disposed of — no mystery units accumulating in the warehouse.

Return Outcomes

Restock

Unit passes inspection. Re-shelved to standard inventory location and immediately available for fulfillment.

Unit requires your review before a decision is made. Held separately, flagged in your WMS portal for you to action.

Unit is damaged or unsellable. Disposed of at weight-based rate. Documented and removed from your inventory count.

FAQ

Common questions about returns handling.

Yes. You'll update your store's return address to the SuperK warehouse address for whichever location(s) you're using. We'll provide the exact address during onboarding. If you use multiple warehouses, we'll advise on the best return routing based on your customer geography.
Returns are received and logged the same day they arrive. Inspection and re-shelving typically complete within 1–2 business days. Your WMS portal reflects each step in real time — you'll see the return arrive before we've even finished processing it.
It gets logged as an unmatched return and held in quarantine. You'll see it in your portal and can instruct us on what to do — refuse and return to sender, dispose, or hold for your review. We don't make disposal decisions on mystery items without your authorization.
Yes. Return handling rules can be configured at the SKU level — so a low-value item might go straight to disposal while a high-value item gets held for your review. Set your rules once during onboarding and we apply them automatically for every return.
We can generate return labels on request at CAD 2.50 per shipment. Most clients manage their own return label process through their Shopify store or returns portal and we simply receive whatever arrives. Contact us to discuss more integrated options if needed.
